Coming from the software industry into advising, one thing surprised me more than anything else.
Most advisors still keep 90% of their practice in their head and 10% on paper.
That is not a criticism. Many firms started as solo practices, learned from a mentor, and relied on time tested methods for client service. Chicken scratch notes in a file cabinet worked well enough.
Until the practice grows.
What memory costs you:
1. You cannot delegate. If the process lives in your head, every question comes back to you.
2. You cannot scale. Each new client adds load to you personally, not to a system.
3. You cannot improve. A process you have never written down is a process you cannot fix.
The goal is to flip the ratio. 90% on paper. 10% in your head.
If you stepped away for two weeks, how much of your client experience would keep running without you?
That answer tells you how much of your practice is a system and how much is just you.
