One solution that consistently helps: creating an Annual Service Calendar.

Think of this as your strategic blueprint for client interactions throughout the year. Instead of reacting to whatever comes up, you're designing a deliberate cadence of meaningful touchpoints. This is not only important to create a routine within your team but to educate and prepare clients on what to expect throughout the year, allowing both sides of the client relationship to put their best foot forward.

What makes a service calendar effective?

  • Intentional Timing: Align communications with when clients actually need them. Tax planning conversations in November (when you can still take action) rather than April (when it's too late).

  • Value-Focused Content: Each touchpoint should deliver something useful—not just "checking in" for the sake of it.

  • Consistent Delivery: Clients appreciate knowing what to expect. Predictability builds trust.

  • Segmentation by Service Level: Different client tiers may warrant different frequencies and types of interaction.
